JOAC Privacy Policy under GDPR:
This regulation came into force on 25 May 2018. This policy describes how we use member’s data. We do not share member’s information and club records with anyone except where shown below.
• Ours is a members club where membership is for a year on payment of a subscription. This is effectively ‘opting in’ to the use of that data for legitimate club business.
• The club has a small number of Honorary Members and Honorary Life Members. These members do not pay subscriptions, but the handling of those members data is the same as for subscribing members.
• Members voluntarily provide name, address, telephone number, email address where appropriate and car details when joining or renewing membership.
• Each year we create a membership list based on the member provided information at joining or renewal. This list is produced and held by the Membership Secretary
• The Membership Secretary locally holds a combination of paper records and electronic files.
• Members would reasonably expect that records will be produced and used to run the club.
• Each year the previous year’s membership list lapses.
• Member’s names and addresses are shared with our magazine publisher so that the magazine can be posted to each member. This active address list is renewed for every edition of the magazine, currently four issues per year. The list is not retained by the magazine publisher.
• The club has a policy of only selling JOAC spares to members. They are not available to the general public.
• The third party company selling spares on behalf of JOAC are provided with a membership list with email addresses in order to verify an individual who wishes to buy spares is actually a member.
• The club magazine is produced quarterly and posted to members.
• Back issues of the magazine are available from the website.
• The website includes news of events.
• Access to the Members-Only section of the website is through a personal login. A list of email address for current members is used to invite members to create a password to access these webpages.
• Occasionally we circulate Jupdates to members by email using a Yahoo account. The distribution list held on this email account is kept up to date by the Membership Secretary. • The club produces a hardcopy register of cars and owners approximately every two years. Members can opt out of having their details included in the register if they wish. The register is hard copy only to prevent circulation on the internet.
• A member can resign from the club at anytime by writing to the Membership Secretary. The Membership Secretary will confirm acceptance of the resignation and will ensure that contact details for that person are removed from the records.
• A member who either resigns or does not renew their membership will have their contact details deleted from the club's membership records and those records held by third parties as described above. This will mean that that individual will no longer be able to purchase JOAC spares, be able to access the JOAC Members-only webpages and will not receive the regular club communications (i.e. the magazine and Jupdates).
• The third parties holding club membership details will delete those records that they hold when they are no longer required (e.g. when a member has left the club).
